00 an hour The Administrative Assistant in the Global Education Office supports the administration of Global Education programming, which includes:
study abroad, exchange programs, and grants.
The position requires strong administrative skills including financial management, office coordination, technical computer skills, event planning, student supervision, and general organization and communication support for Global Education programs.
Must be able to communicate clearly, both in orally and in writing, on the telephone and in person to serve as the public relations representative of the department or assigned area.
Must be able to read and use sound judgment and work independently in performing all duties.
Job Duties:
Financial:
Maintain and create detailed spreadsheets in order to track budgets for numerous Global Education programs.
Track cost information from Study Abroad partners and grants.
Review incoming bills, and work with the Director of Global Education to code bills precisely.
Process reimbursements and manage credit card reconciliations.
Communicate with faculty about Global Education program budgets.
Administer the process for granting student scholarships.
Coordinate finances with many on-campus offices, such as Student Accounts, Business Office, Financial Aid.
Office Organization:
Order supplies and maintain organization of office materials.
Interface with college offices such as IT, Building Services, the photocopier supplier.
Manage office memberships to various global education forums.
Maintain several calendars and assist in the scheduling of events/meetings.
Technical:
Maintain an organized system for physical and digital files.
Via software.
Occasionally post social media content.
Event Planning:
Create promotional materials.
Book rooms, select and order food, make travel arrangements.
Supervision:
Recruit, hire, onboard, and manage multiple student employees.
Communication:
Serve as the primary person to respond to messages from multiple inboxes.
Take minutes at meetings.
Maintain a website.
Write occasional reports.
Global Education Programming:
Create visa letters.
Enroll students in insurance and State Department Travel Advisories.
