Prepare for life The College of Arts and Letters is searching for someone to join our team as the Administrative Coordinator for Gender Studies.
Gender Studies is a dynamic academic program and a vibrant community of students and faculty.
On a daily basis, the Gender Studies Program office is a safe place where students may gather for advising on course selections, deep discussions about diverse topics, or just a peaceful place to study between classes.
The person in this position coordinates the Program's daily operations and provides administrative, organizational, and clerical support to the Director and Associate Director.
This position serves as the liaison for the Program with all internal and external entities, supervises student workers, and is required to maintain strict confidentiality in all sensitive matters.
Reporting to the Director of Gender Studies, the Administrative Coordinator supports the Program by coordinating operations, including but not limited to:
Communications, faculty hires, leaves, and promotions Planning and coordination of Program-sponsored events Monitoring financial accounts (restricted accounts, tracking expenses, stewardship reporting, etc.
) Coordinating the gathering of information and processing reports as needed Hiring and training student workers Assisting the Program Director, Associate Director, and faculty as needed Scheduling appointments, maintaining databases and verifying records Managing the Program's physical space Receiving visitors and phone calls in a courteous and professional manner Ordering office supplies, maintaining all records and information systems Providing support and information for Gender Studies students on meeting requirements, deadlines, course scheduling, and academic requirements Maintaining and updating the Program's webpage Creating and designing posters, flyers, and advertisements for various events and initiatives This is a full-time, 10-month position:
August through May, then returns each year in August.
Minimum
Qualifications:
High School diploma or GED; college education welcome but not required A minimum of 1-2 years of administrative experience is required Preferred
Qualifications:
Excellent organizational and communication skills, ability to respond to multiple tasks and questions with frequent interruptions.
Must be self-motivated, take initiative, be able to reprioritize tasks and learn quickly Must be able to maintain the confidentiality of student files and personnel issues.
Must have an excellent knowledge of grammar, punctuation, and spelling.
The ability to learn and negotiate new platforms in addition to experience with Word, Excel, and various web browsers is necessary.
